Front Desk Receptionist

The  Receptionist is the professional and energetic first impression of all in-person visitors and on the phone. The ideal candidate will perform reception/administrative duties and provide organizational support for multiple departments in the office with efficiency and a positive attitude. They will manage visitors, telephone calls, and messages professionally and efficiently, and effectively perform clerical duties that support engineering & administrative operations.


Essential Tasks:

  • Promptly, accurately, professionally, and courteously answer all phone calls, take accurate messages, screen and direct calls to the appropriate department on a multi-line phone system.

  • Greet and professionally screen incoming visitors and promptly notify appropriate personnel of their arrival.

  • Receive, sort, and distribute incoming mail as needed and prepare outgoing mail promptly.

  • Receive and sign courier deliveries and distribute them to appropriate personnel.

  • Properly address and prepare courier/certified/overnight/return receipt mail.

  • Inventory and stock office supplies and miscellaneous items as directed.

  • Operate standard office equipment and peripheral devices (copier, printer, scanner, PC, etc.) and coordinate repairs/maintenance as required.

  • Keep the printing area, supply/storage rooms, conference rooms, breakrooms, refrigerators, and reception area organized and clean.

  • Maintain an organized office calendar and schedule meetings and appointments as needed.

  • Ability to walk, bend, stoop, and/or lift under 20 pounds (ex.: Boxes of paper-6 reams, printing supplies, case of water)

  • Coordinate with Property Managers via Granite Office Portal to schedule repairs, cleaning requests, and various miscellaneous items.

  • Adherence to standard working hours and consistent attendance are required.


Job Requirements: 1 - 3 years of receptionist/administrative support experience, excellent interpersonal skills, self-manageable, detail-oriented, enthusiastic, intermediate-level MS Office (specifically Excel, Word & Outlook) experience.
